Employment Forms

 

IN PREPARATION FOR SEARCHING FOR A JOB ON CAMPUS
A student needs to complete and submit an I-9 to the Office of Financial Aid.  This form needs to be completed before a student can apply or be hired for employment on campus. There will be no exceptions.

The I-9 Form verifies both identity and eligibility for employment.  TO COMPLETE THE I-9, A STUDENT MUST PRESENT IDENTIFICATION DOCUMENTS.  Some of the most common forms of identification used by students are driver's license, Skidmore College ID card, or passport; along with social security card or birth certificate.  (A complete list can be found on the I-9 form.) Students need to complete Section 1 only, making sure to sign and date.  

This form can not be submitted electronically - it must be submitted to the Financial Aid Office in person, along with supporting identification documents, to the Financial Aid Office, 815 North Broadway, Saratoga Springs, NY 12866.

This form does not need to be completed each academic year ~ only when working on campus for the first time, unless your Identification document expires during your Skidmore Career in which case you will have to complete a new I-9 when your Identification document renews.

 

ONCE A STUDENT HAS BEEN HIRED TO WORK ON CAMPUS  -  Completed forms can be turned in to the Office of Financial Aid located in the lower level of Starbuck Center.  Forms can also be mailed to the Office of Financial Aid, 815 North Broadway, Saratoga Springs, NY 12866.

Financial Aid Forms:

First Year Students Only:    The Notice and Acknowledgement of Pay Rate and Payday for the Class of 2027 form.  All employees are required to complete and receive a copy of the form as a notification of pay rates, pay dates, and wage statements.  Please complete number 8 on this form.  Email completed form to stuemp@skidmore.edu, or drop off at the financial aid office, 1st floor Starbuck Center.

Returning Students Only:    The Notice and Acknowledgement of Pay Rate and Payday   All employees are required to complete and receive a copy of the form as a notification of pay rates, pay dates, and wage statements.  Please complete all sections of this form except for the last line “Preparer’s Name and Title.  Email completed form to stuemp@skidmore.edu, or drop off at the financial aid office, 1st floor Starbuck Center.

 

Payroll Forms:

The following Payroll forms can be completed each year by accessing Oracle.   You will receive Oracle access information in the email you receive when you are hired in the student employment system for the Academic Year. 

Federal Tax Form

  • The W4 Form (Federal Withholding Form) determines the amount of federal income tax deducted from your paycheck. 
    This information is carried over from year to year.  It’s advised that you check it each time you are hired to determine if you would like to make any changes. Edits can be done by accessing your tax withholdings in Oracle (use hotlink).

 

State Tax Forms

1.  The IT 2104 Form (New York State Tax Withholding Form) determines the amount of NYS income tax deducted from your paycheck.

  • This is information carried over from year to year.  It’s advised that you check it each time you are hired to determine if you would like to make any changes. Edits can be done  by accessing your tax withholdings in Oracle (use hotlink).

2. Students who wish to claim exemption from New York State taxes can fill out the IT-2104-E form and either mail it to Payroll or email it to payroll@skidmore.edu.  This needs to be filled out every year if you wish to continue to claim exemption from NYS taxes.

The student employee is to determine which form (IT-2104 or IT-2104-E) he/she needs to complete.  Guidelines are on the forms themselves.

Skidmore College Direct Deposit
Setting up “Direct Deposit” allows your student employment earnings to be deposited into your personal bank account instead of a check made payable to you.   All new direct deposits take up to two pay periods before becoming effective, as a connection needs to be established between Skidmore and your bank.  Until effective, you will be paid in a paycheck sent to your on campus mailbox.
